    The Senior Associate, Medical Affairs Operations plays an integral role in the Medical Affairs team. The incumbent is responsible for overseeing contracts, payments and other administrative duties that support a variety of audiences, most notably, 3rd party vendors, external consultants and medical field staff.

    Responsibilities

    Contract Administration

    • Manages legal documents such as requests for vendors and consultants, collaborating closely with Legal to ensure timely review and approval.
    • Ensures that all 3rd party partners have up-to-date confidentiality agreements with required signatures.
    • Manages the tracking and then filing of all the documents noted above.
    • Handles inquiries from various parties on contract status and provides up-to-date information.

    Payment Processing

    • Manages an efficient financial reconciliation process for Medical Affairs vendors and consultants.
    • Provides timely process payment vouchers per project owner’s request and validates and tracks invoices per project management timeline and deliverables.
    • Compares payment requests to contract deliverables and eithers flag discrepancies and escalates for review, or if the documents align with deliverables, routes through signature process and sends to Finance for payment.
    • Maintains tracking and accurate records with notations to enable swift information retrieval.
    • Handles a range of inquiries from internal stakeholders, vendors and consultants on payment status.

    System Support and Administration

    • Acts as a “super user” and first line contact for field medical staff, handling a range of questions on the CRM system. Triages system issues reported by users.
    • Identifies commonly asked questions and either sends out clarifying guidance to users, or if the issues are more complex, makes recommendations to management for additional training.
    • Maintains current expertise on current versions and patches. Collaborates, as needed, on rollouts.
    • Identifies any system issues and discrepancies that could be fixed and alerts users, IT department and/or vendor’s representative, as appropriate.

    Qualifications

    • Associate’s degree is required; Bachelor;s degree is preferred 

    • At least 5 years of experience in healthcare industry
    • At least 3 years of experience in the administration of contracts and payments
    • Medical Affairs experience is highly preferred
    • Project management experience or training is a definite plus
    • Self-starter; hard-working and independent
    • Well-honed organizational and/or project management skills
    • Excellent attention to detail with highly accurate data entry skills
    • Proven customer service focus towards internal and external customers coupled with a great phone demeanor
    • Maintains optimism and energy in the face of change and adversity; proven ability to collaborate and problem solve
    • Good computer skills; proven proficiency for rapidly picking up new computer systems and being able to assist other users
      • Proficiency in MS Office
      • Proficiency with a CRM system is a plus
      • Ability to sit or stand for long periods of time
      • Manual dexterity required to operate office equipment, i.e. computers, phones, copy machine/printer
      • Ability to carry, handle and reach for objects
      • Ability to lift and pull up to 15 pounds
