    The Specialist, Medical Affairs Operations plays an integral role in supporting the Medical Affairs team. The Specialist is responsible for tracking consulting and vendor contracts, payments and monthly reporting to support Medical Affairs operations strategy and tactics, project management and financial management for all programs.  The incumbent will provide services to Medical Affairs include but not limited to vendor and consulting contracts management, project status tracking, monthly reporting and technical applications support. This position will be a direct report of the Director, Medical Affairs Operations with appropriate operational and project management support of key initiatives to ensure their successful implementation.


    • Contract tracking: Facilitate the development, approval process for Medical Affairs vendor Confidential Agreement, Contracts, Statement of Work and individual Consulting Agreements using project management methodologies and tracking them with timely status updates
    • Payment tracking: Operationalize vendor selection, budget tracking and project timelines. Collaborate with colleagues within Medical Affairs and cross functional stakeholders to maximize efficiencies, share and apply best practices.
    • Project management and financial management for Medical Affairs Ph IV studies and other clinical research programs, grants programs, and consultants and vendors: track, process and accrual payments per patient enrollments and required reports.
    • Project tracking: Assist Medical Affairs Operations, Scientific Affairs and Field Medical for project timeline and deliverable tracking.
    • Ensure compliance with required HCP payment reporting and all applicable internal SOPs
    • Technical solutions support: Maintain a Wish List to flag potential process improvement opportunities and support execution of them.
    • Problem Solving - Identify and resolve problems in a timely manner; gather and analyze information skillfully develop alternative solutions. Adaptive to changes with ability to plan, organize, prioritize, and execute multiple tasks within assigned objectives.


    • BA/BS or associate degree in Business or Science required
    • 3 years of working experience including minimum 2 years of operation support experience in Medical Affairs or other healthcare operations.
    • Proven ability to effectively manage interactions with internal departments and externally
    • Project Management training and experience
    • Ability to interact with cross-functional teams in a matrix organization
    • Customer service focus towards internal and external customers
    • Cross-border clinical study or healthcare management experience
    • Well-organized self-starter, hard-working and independent
    • Strong analytical mindset, excellent attention to detail and organization
    • Maintains optimism and energy in the face of change and adversity; willing to collaborate and problem
    • Data driven, motivated self-starter and solution oriented
