    The Administrative Assistant will provide administrative support for the Vice President, Medical Affairs at MT Pharma America (MTPA) and the Medical Affairs office-based and field science team members. 


    • Manage calendar including ownership of the schedules and independent decision-making to accommodate meeting requests for the MTPA Medical Affairs team and guests or visitors
    • Assist in travel arrangements and expense report submissions, when needed, for VP Medical Affairs.
    • Provide executive support including answering telephones; assisting visitors; and resolving and/or referring administrative problems and inquiries.
    • Process and Manage vouchers for the Medical Affairs leadership team. Track and update all expenses for department ledger in Excel and gather for monthly forecasting.
    • Coordinate, plan, and execute in-house and off-site Medical Affairs-hosted activities.
    • Coordinate Medical Affairs attendance at externally sponsored meetings (e.g., scientific congresses) by providing assistance in securing a location, conference room, and accommodations, as needed.
    • Recording and distributing meeting agendas and minutes
    • Assists team with contracts submission and follows up with legal and accounting
    • Organize Medical Affairs meetings, teleconferences and WebEx set-up; coordinate meeting logistics to include preparing PowerPoint presentations and materials
    • Demonstrate professionalism by  developing a colleagial relationship within the organization and with MTPA external business partners and consultants while maintaining strict confidentiality of MTPA intellectual property and key assets
    • Support functional / corporate project-based work, as requested
    • Perform other departmental duties as assigned


    • 5+ years of experience as an Administrative Assistant support Executive Level Management and field-based team
    • Experience in pharmaceutical industry preferred
    • Excellent interpersonal and communication skills
    • Ability to effectively interact and respond to internal and external customer with the highest degree of discretion and thoughtfulness
    • Excellent organizational skills and the ability to handle multiple and varied tasks accurately under tight deadlines, with little to no supervision
    • Proficiency using Lotus Notes and Microsoft Office Suite technology, including Word document, Excel spreadsheets (pivot tables and lookups) and PowerPoint presentation creation
    • Ability to handle sensitive information and maintain high level of confidentiality
    • Maintain a positive attitude while providing exceptional customer service within a fast paced environment
    • Demonstrates ability to problem solve and recommends solutions
    • Must be flexible, creative and resourceful
    • The ability to cultivate relationships is essential to this role as the Administrative Assistant will be the backbone of the tea
    • Ability to sit or stand for long periods of time
    • Manual dexterity required to operate office equipment, i.e. computers, phones, copy machine/printer
    • Carry, handle and reach for objectsMust be able operate standard office equipment, including but not limited to, computers, telephone systems, copiers and fax machines
    • Lift and pull up to 15 pounds
