    The Senior Administrative Assistant provides administrative support to the President and Country Manager of Mitsubishi Tanabe Pharma Canada, Inc. Incumbent assists with a variety of ongoing day-to-day administrative processes as well as standalone projects. Administrative duties may include, but are not limited to, copying; faxing; mailing; filing; making travel arrangements; processing expense reports, etc.


    • Monitor expense budget, develop expense forecast and support Country Manager to manage company-wide resources
    • Process invoices for various projects for proper accounting record and payment
    • Maintain working environment by leading coordination with third party vendors and service providers, which includes but not limited to managing contracting process, issuing and managing purchase orders of office supplies, and arranging office maintenance service.
    • Coordinating all conference logistics, attendance, and sponsorship requests alongside marketing, agency, and conference contacts
    • Work closely with supporting functions from the US affiliates, i.e., Mitsubishi Tanabe Pharma America and Mitsubishi Tanabe Pharma Holdings America.
    • Lead ad hoc company special events and projects as they arise.
    • Schedules, plans and coordinates a variety of meetings and events, such as staff meetings (including recording of action items) and a variety of recurring events with other internal and/or external groups, including purchase of food, supplies and handout material, if appropriate


    • Minimum high school diploma or certification required.  Associate’s or bachelor’s degree a plus
    • Minimum of 5 years of administrative experience, preferably within a pharmaceutical or other corporate environment.
    • Experience in budget monitoring is preferred.
    • Ability to multitask, meet deadlines and bring tasks and projects to timely conclusion while maintaining high quality.
    • Great interpersonal skills; a proven ability to interact well with employees and managers up to senior levels.
    • Discretion and tact; a trusted professional with a proven ability to safeguard highly sensitive and/or confidential information.
    • Strong computer skills: MS Office (including proficiency in Excel and PowerPoint), and familiarity with HRIS and ATS systems.

    Physical Demands:

    • Ability to sit or stand for long periods of time
    • Manual dexterity required to operate office equipment, i.e. computers, phones, copy machine/printer
    • Ability to carry, handle and reach for objects
    • Ability to lift and pull up to 15 pounds
