Seeking an organized and detail-oriented HR Coordinator to support the HR team in recruiting, onboarding, and managing employee records. This incumbent will also provide tactical support to the VP, Human Resources, and the extended HR team and assist with a variety of day-to-day processes as well as standalone projects. Duties may touch upon any of the standard HR functions and responsibilities (e.g., staffing, benefits, employee relations, training, legal compliance, etc.).

Responsibilities

  • Provides critical staffing support to ensure new hires are seamlessly transitioned into the organization:
    • Assists recruitment by scheduling meetings, interviews & debriefs, coordinating confidentiality agreements, and preparing offer letters for U.S and Canadian-based candidates.
    • Supports the pre-employment screenings process (I-9, background, reference, and drug testing) and onboarding communication.
    • Coordinate and facilitate new hire orientation, paperwork, and first-day logistics, including preparing offer packets, flexible work arrangement guidelines, benefits packets, and other employee-related information.
  • HRIS Administrator by processing new hire and employee change details (leaves, terminations, promotions, etc.) via the HRIS system(s) (i.e., Workday, Employee Central, and HR PowerApps) and maintaining employee files to ensure compliance through periodic audits.
  • Point of contact for work-related injury submittals; sending details to the appropriate contact to ensure incidents are reported on the OSHA 300 form timely, and accurately.
  • Manage the HR inbox, SharePoint updates, Learning Management System, and organizing weekly HR staff meetings.
  • Maintains employee files and performs regular audits of files to ensure legal compliance in all areas of Human Resources.
  • Process HR-related invoices and assist with SOW creation, as needed.
  • Assists the HR team with ad hoc projects, including but not limited to:
    • collaborating with Compensation to process annual award letters and processing HR-related invoices.
    • coordination of training classes/meetings and assists with all company special events
    • backup support to the HR team, i.e., performs clerical functions, as needed

Qualifications

  • Bachelor’s degree is required.
  • Minimum of 3 years of experience working in an HR function, preferably within a pharmaceutical or other corporate environment.
  • Experience working with a technical hiring program in a highly competitive industry is preferred.
  • Solid understanding of common HR programs and functions.
  • Excellent organizational and communication skills and the ability to work independently in a fast-paced environment.
  • Ability to multitask, meet deadlines and bring tasks and projects to timely conclusion while maintaining high quality.
  • Great interpersonal skills: a proven ability to interact well with employees and managers up to senior levels.
  • Discretion and tact; a trusted professional with a proven ability to safeguard highly sensitive and/or confidential information.
  • Strong computer skills: MS Office (including proficiency in Excel and PowerPoint), and familiarity with HRIS (Workday preferred) and ATS systems.

The salary range for this position is $68,000 - $90,000. Factors such as scope and responsibilities of the position, candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations may influence base pay offered. This salary may be subject to a geographic adjustment (according to a specific city and state and depending on the role), if an authorization is granted to work outside of the location listed in this posting.

 

This position is eligible to participate in our annual Short-Term Incentive (STI) program.  Specific information about the plan including eligibility rules and target, will be furnished upon hire.
